By participating in one of our events your hotel is assured maximum exposure to potential guests. As the official housing agency for our client's events we represent them to area hotels. For websites we own and operate we are the actual client. Either way we work hard on behalf of all hotels to ensure they are represented on our websites, client publications, social networks and every possible marketing channel for selling rooms. We have a vested interest in selling your hotel. We get calls every day about how to participate in our events, so here is some basic information typical for most events:
Hotels complete a contact form with your hotel's basic information and the event(s) you are interested in hosting.
Our managers will review and, if applicable, send you a link to our tentative commitment form to get rates and other information. Our criteria? While this varies somewhat by event these are our general policies:
We look for quality hotels offering new or recently updated accommodations.
We look for good locations nearest our event venues.
We must be assured of the best possible rates
Additional special concessions to add value for our client and their guests (comp ratio, upgrades, inclusive meals, complimentary parking, amenities etc.)
For sports groups we look for adequate bus parking, upgrades for coaches, adequate meeting space for team meals/meetings and a staff accustomed to hosting such events.
We typically do a personal site inspection at each major event hotel prior to booking.
One of our standard contracts will be issued signed by our client (or by our staff if the event is for our branded events).
Once the contract is executed the hotel is built in our reservations system and a channel for communication is established regarding pick-up reports, billing arrangements and reservations downloading (or PCI compliant transmittal) is established
Our event managers communicate fully with your property leading into the event to ensure fullest possible utilization of your block.
Staff is on duty 24/7 during the event
Post event reports are compiled within 7 days
